We are currently seeking a motivated and detailed oriented Tax Office Submissions Specialist to join the dynamic team. The Tax Office Submissions Specialist plays a key role within the VAT Compliance team by ensuring the timely and accurate submission of VAT returns for clients across multiple jurisdictions. The role is critical for meeting statutory deadlines and maintaining clients’ compliance with local VAT legislation through the correct prioritization of VAT filings based on their significance—VAT payable, VAT reclaim, or nil returns.
The position is on site - from our Varna based office.
Responsibilities:
VAT Return Submission
Ensures the timely and accurate submission of VAT returns to tax authorities for all assigned clients and countries, in line with statutory deadlines.
Prioritization of Filings
Organizes VAT filings according to the following priority:
VAT payable returns (timely filing and payment),
VAT reclaim/refund returns,
Nil returns (no VAT payable or reclaimable).
Preparation of Draft Returns
Prepares preliminary (draft) VAT returns to be ready for internal review and client approval.
Client Communication and Approvals
Sends draft returns to clients and manages the approval process in accordance with internal deadlines and procedures.
Preparation of Payment Instructions
Prepares and provides clients with clear information regarding:
VAT amounts due;
Payment deadlines;
Correct IBANs and payment references per country.
Initiation of VAT Payments
Initiates VAT payments on behalf of clients in the relevant jurisdictions (e.g. via direct debit or other approved payment methods);
Communicates with internal teams or banks where necessary to ensure successful execution of payments.
Compliance and Documentation
Maintains complete documentation for all filed returns, client approvals, and executed payments in the company’s systems to ensure audit trail and regulatory compliance.
Stakeholder Communication
Cooperates with internal teams (e.g. VAT analysts, client services), company counterparts (subcontractors, local agents), tax authorities, and external clients to ensure all required data is available and any issues are resolved in a timely manner.
Requirements:
Mandatory:
Good knowledge of VAT return filing processes and regulatory deadlines in multiple jurisdictions;
Excellent organizational skills and attention to detail when managing complex filing schedules;
Strong communication skills for effective collaboration with internal teams, agents, and clients;
Ability to work under pressure and manage multiple deadlines.
Advantages:
Knowledge of VAT systems within and outside the EU and related reporting requirements;
Experience in VAT, tax operations, or another financial operations role;
Experience with VAT filing platforms or tax authority portals;
Knowledge of direct debit processes and payment initiation in multiple jurisdictions.
